Softball
 

The CYO plays softball for girls at (or about) 6 yrs old and up.

  • T-ball for kids younger. 4 to 6 yrs of age (Co-ed)
  • Baseball for boys (6 yrs & up)

Registration

Registration will be Feb 5, 12 and 19 from 9am - 2pm in the OLPH school cafteria, and Wed 15 from 6pm - 8pm, also in the school cafeteria.The online registration is now open.

Cost

The cost is $90.00 and includes the uniform (cap, jersey, pants & socks) and all fees.

Practice and Games

Normally we practice through March and start playing games the first part of April.

Practice is usually held at the CYO fields, (but, to allow for more flexibility in their pratice schedules, some coaches have secured off-site facilities).

We will try to allow for 2 practices per week.

  • Your team could pratice on Monday & Wednesday, or a Tuesday & Thursday.
  • It could be from 5:30 to 6:30, or 6:30 to 7:30.

All games will be played at San Antonio's northeast side catholic church's and most games will be played on the weekend.

   
 
 

OLPH Field Coordinator Duties
Baseball, Softball, Teeball

 

1. SCHEDULE. Check the schedule of games on your assigned weekend PRIOR to your weekend. If you are sharing a weekend with another coach, coordinate with your partner well in advance. Schedules will be provided to each coach and/or posted in & out of the concession stand. Additional copies are available from the commissioner - a master copy will be posted at the concession stand.
** NOTE ** If you have a game where both teams are not from OLPH, you must coordinate assistance for that game in advance. Only OLPH parents can work in the concession stand.
** NOTE ** If you have never been the field coordinator before, it is strongly suggested that you either do a walk-through with a veteran coach or visit the field on the weekend before your duty to get educated. Don't feel alone, we are here to help each other and we all know what its like to do it for the first time!

KEYS. OLPH CYO has a set of keys that rotate from coordinator to coordinator. On the key ring you will find 5 keys. One to the concession stand and the storage room. One to the restroom. One to the meeting room and 2 to the cash drawers. Make sure that you get the keys to and from the coordinators early in the week.


3.

GRASS. Make sure the fields are mowed before each weekend. This includes all the grass from fence line to fence line. Use the push mower to "scalp" all lines on both fields BEFORE you mow with the rider. This way the lines won't get lost. Edge and weed-eat when & where necessary. Mowers, edger and gas are in the tractor storage shed. Please check the oil levels in the mowers before you start them. If you need to purchase gas, please keep your receipt for reimbursement with our treasurer.


4.

LINING. Line the foul lines, batters box, warm-up circle, base coaches box, etc. Use the marble dust provided and keep it all dry.


5.

CONCESSION OPENING. Open the concession stand at least 30 minutes before the first game.

a. Put hotdogs, corndogs, chili & cheese on to warm up
b. Make coffee on cool mornings
c. Check restrooms for paper towels, toilet paper, soap & cleanliness. (supplies are in the storage room)

**Important** Only responsible adults are to work in the concession stand. If you have a game where both teams are not from OLPH, you must coordinate assistance for that game in advance. Only OLPH parents can work in the concession stand. If the responsible home team will not provide the necessary adult volunteers to run the concession stand, lock the doors and inform the home team head coach. As field coordinator, it is not your job to run the concession stand or look for volunteers to run it. It is the responsibility of the home team.


6.

WATER COOLERS. Prepare ice water in coolers for kids and set out at each dug out.


7.

GAME BALLS. Game balls are stored in the equipment room.

8.

MONEY. " Drop " money through out the day. See CASH MANAGEMENT section Page 3.


9.

EACH GAME. The home team is responsible for having 2 adults work the concession stand for each game.
** NOTE ** The officials, scorekeepers and coordinators are provided free drinks and snacks.


10. GAME / CROWD CONTROL. It is your job to handle any issues associated with the games. Including escorting out any ejected parents, coaches or players, calling police or EMS, getting change for concession stand (if necessary) and helping the officials.

11. PARKING. Please ask all parents to park in the church parking lot and walk back to fields.
Handi-capable people may park at the fields. Coordinators can also park at the fields, but out of site.

12.

POST GAMES. After the last game of the day:

 

a. Collect game balls and put them away
b. Police area for trash
c. Empty all trash cans and replace liners (even the one at the parking lot)
d. Pick-up water coolers
e. Clean the concession stand

 

1. Hotdog warmer
2. Snow cone machine & syrup
3. Wipe off counters
4. Wipe out microwave oven
5. Empty trash cans & replace liners
6. Sweep & mop
7. Only restock drinks if supplies are VERY low (do not restock on Sunday)

** NOTE **
On Saturdays
, if the crock pots are empty, wash them. If they are full, you may remove them from the warmer and place them in the refrigerator.
On Sundays, you must empty the crock pots and clean them


8. Count out proper cash drawer amount. Drop all remaining cash.

  Please understand that we do not have a paid cleanup crew to manage these areas. We are a volunteer organization. This means the cleaning has to be done by you.

13.

FINAL LOCKUP.

a. Turn out all lights
b. Lock all doors & windows
c. Padlock all areas
d. Place the cash drawer key(s) back on the key ring

14.

PASSING THE TORCH. Upon the completion of your field coordinator duties for the weekend, look up the next scheduled coordinator (schedule and phone numbers should be posted at the concession stand) and make arrangements to personally hand off the keys. Please do not leave the keys where they can be accidentally found or stolen


  CASH MANAGEMENT. You are responsible for safekeeping of CYO funds during the games. It is CYO policy to not leave cash in an accessible area due to possible theft. The OLPH CYO must account for concession income and we track it by day to ensure proper controls are in place. There is one drop box in the concession stand, secured to the floor inside the cash drawer cabinet on the same side as field 1.
Cash management will be strictly adhered to as follows :

In the concession stand, there are 2 cash drawers.
Both drawers should contain the following start of day balance:

 

$ 1.00 bills - 30
$ 5.00 bills - 4

= $ 30.00
= $ 20.00

Total $ 70.00

 

  Remove the cash drawer key from the key ring and make sure the start of day amount is accounted for. It is necessary to have the key to open the cash drawer. PLEASE take proper care of it.
*** NOTE *** Do not count the loose change (coins)
 
  • During the day:
  • Check to see if there is any excessive cash that has been collected. To eliminate any possible theft:
    • Collect the money
    • Fill out the envelopes provided (located near the drop box)
    • Put the money in the envelope & seal it
    • Drop it in the drop box
  • Fill out a cash control sheet or "Drop Sheet" located near the drop box with the amount of money dropped and the drop number
  • At the end of each day:
    • Count out the next days "Start of Day" cash and leave that amount in the cash drawer
    • *** NOTE *** Do not count the loose change (coins)
    • Drop all remaining cash
    • Fill out the remaining information on the drop sheet, fold it and place it in the drop box.
  • At this point, the cash drawer should be back at the start of day balance.
